From evidence to decision

Know what stands between the file and closing.

Gather documents, review conditions and record the human decisions behind sign-off.

  • Every gap in plain viewMissing, unread and out-of-date evidence stays open and is never counted as a pass. Whatever the gate needs keeps sign-off closed until a person resolves it.
  • People decide, the software checksThe check finds what is in the file and what is missing; every finding that needs a judgement is cleared by a named person, with evidence or a recorded reason.
  • A record you can keepSign-off stores the register with a SHA-256 fingerprint of exactly what was signed.

Getting started & review help

Getting started and review help

Your review workflow

  1. Create a case. Choose New case and give the loan a recognizable name or number. Add its documents and answer the deal questions you can; anything left as "Not sure" stays open as a question rather than being read as No. Creating a case with documents runs the quick completeness check.
  2. Add source documents. Start with the title report or commitment, lender instructions and approval memo. You can add several files or drop a whole folder at once. CloseReady suggests a type from each filename (and, where your workspace has it turned on, from the words on page 1 when the name says nothing), but nothing uploads until you accept or choose the type of every file. Add the agreements the title report cites.
  3. Let the completeness check run. Where automatic checks are on, the quick check runs by itself after each upload or change; otherwise, or after an AI review, run it from the case with Run the quick check. Then work from the case's To do. Your turn lists your tasks in order: a passed deadline first, then findings, recorded agreements, reading gaps, checklist paperwork, and optional warnings last; Start with Next up opens the first one where its work is done. Waiting lists what waits on someone else, Done what was cleared, by whom and when, and All every row of the checklist. Collect documents gets the documents still needed, Decide findings lists the findings beside the open one, where an approver also answers a waiver request and links a reference the finding cites, and Sign-off ends it. Each page has its own address, so you can link to it.
  4. Record decisions. Check the original evidence and record a reason, supporting document or attestation for each condition. Only an approver can waive one; anyone else can ask an approver to, and the item stays open until a person records a decision.
  5. Sign off. An approver can sign when all gate requirements are met. Download the closing summary and review record for your files.

Where to get help

Access, roles and account questions go to your administrator, who manages invitations and permissions for your organization. For a finding you disagree with, record your reasoning in the decision so the review history carries it.

What the check tells you

The completeness check builds a condition register from available document text, title references and deal facts. It does not perform AI clause reading, OCR or a legal review. A deal fact nobody has stated keeps its requirements open as "applicability unknown"; a stated No excludes them. A stored document is not automatically reviewed evidence; unread agreements and missing documents block sign-off.

Evidence and freshness

Use the document date for dated evidence. Time-sensitive evidence can expire. Adding, replacing or withdrawing documents, or changing a deal fact, makes earlier decisions stale: the check runs again (by itself where automatic checks are on), and affected decisions need review before sign-off. A document taken out with Withdraw from file stays downloadable in the case history but counts toward no requirement; re-tagging a document with another type is not a way to remove it.

Who makes the decision?

Reviewers record findings and evidence. Approvers can waive a condition with a reason, record a finding as not a finding with a reason, and sign the ready-to-fund register. CloseReady never records a human verdict for you.

Who does what

  • Collect documents: anyone on the case; clearing a gap under Read only in part is an approver’s.
  • Decide findings: anyone; waivers, answering a waiver request and linking a reference are an approver’s.
  • Sign-off: approvers sign; anyone can read.
  • To do: an approver’s Your turn also lists what only an approver can do; anyone else sees those under Waiting.

Verifying a download

Each original shows its SHA-256 hash in Documents. After saving a file, compare hashes. In PowerShell:

Get-FileHash .ile.pdf -Algorithm SHA256

The two values must match exactly. If nothing downloads, allow downloads for this site in your browser and try again.

Decision meanings

Open
No review decision yet.
Received / Under review
Evidence has arrived or review is in progress. These do not satisfy the condition.
Satisfied
A person has verified the requirement with supporting evidence.
Blocked / Expired
The requirement is unresolved or its evidence is out of date.
Waived
An approver has accepted an exception with a recorded reason.
Not a finding
An approver has read the cited clause and recorded, with a reason, that the software's finding is wrong. Clears the condition like a waiver; counted as a false positive in the review record. Only for findings read or checked in the documents, never for a checklist row.

Downloads

The closing summary is a readable Markdown working copy of the register. Original downloads return individual files. Review snapshots and case archives are JSON files for recordkeeping and technical use. None of them is the signed register, which is stored at sign-off.

Glossary

Added condition
A requirement an approver added to one loan beside the standard checklist, as a blocker or a warning. Only a person's recorded decision clears it; removing it needs a reason and is recorded.
AI review
The review that reads the agreements in the file for their clauses, with AI. It costs money, so it never starts by itself: an approver requests it with a cap, run by run.
Applicability unknown
A checklist requirement whose deal-fact question (recourse, guarantors, borrower entity, leasehold, construction, tenancy, acquisition, participation, recorded liens, formation state) has no answer yet. Answer it under Deal facts or add the document.
Attestation
Your own statement of what you verified, when and how. Recorded under your name and the server time.
Before docs
Needed before the loan documents are drawn: the ready-to-doc gate. Some lenders call these prior-to-documents (PTD) conditions.
Before funding
Needed before money moves: the ready-to-fund gate. Some lenders call these prior-to-funding (PTF) conditions.
Blocker
A condition that stops funding by itself until it is satisfied with evidence, or waived or recorded as not a finding by an approver.
Case
One loan's review: its documents, deal facts, the latest check, every decision and any sign-off.
Closing summary
The register in readable form: gates, unknowns, missing documents and each finding with citations and decisions. A working copy, not the signed register.
Deal facts
The facts that decide which checklist rows apply, such as guarantors, lien position and whether the loan is construction or leasehold. Editable on the case; a change makes earlier decisions stale.
Document type
What a file is for, such as Title commitment, Loan agreement, UCC search or Rent roll. It routes the file to the right checklist row, so a court search typed Legal searches does not satisfy the UCC search row. Types with no checklist row, such as Legal opinion letter or Zoning report or letter, are there for a requirement an approver adds to one loan. Classification is a human responsibility: a type suggested from the filename or from page 1 counts only once you accept it. "Other / not for closing" keeps a document in the file without satisfying any requirement.
Evidence gap
Something the check could not see: an unreadable scan, an instrument cited on title but not in the file, or an unstated deal fact. Listed before findings, because a finding the check could not make is not a clean result.
Freshness window
The number of days evidence stays valid, for example an appraisal within 120 days. Dated evidence is required; expired evidence blocks.
Gap
Part of a document in the file that the reader could not use, such as a passage, a page with no text or a missing page. A complete, readable copy is the first fix; an approver can clear some gaps with a reason and evidence, but never missing or repeated pages.
Gate (ready to fund)
Ready only when every blocker is satisfied, waived or recorded as not a finding, no agreement the file holds or cites is missing or unread, and no evidence has expired.
Information
A finding for the record and post-closing monitoring. It never blocks.
Quick check
The completeness check: it builds the condition register from the documents’ text, the title report’s references and the deal facts. Offline, no AI and no cost. Where automatic checks are on, it runs by itself after each change, unless the latest result is an AI review: then nothing runs by itself until an approver requests another AI review or someone runs the quick check, which replaces the AI review’s findings.
Recording reference
The instrument number or book and page under which a document was recorded, for example "Book 1234, Page 56". It links an uploaded instrument to the title report's citation: an agreement the title report cites by its number clears only when a file carries that number, whatever its type. A cited row's Upload fills it in for the file you choose; Set recording number adds it to a file already uploaded.
Revision
The case's version number. Every save checks it, so two people cannot overwrite each other's decisions unknowingly.
SHA-256
A fingerprint of a file's exact bytes. Matching fingerprints mean the file you saved is the file that was stored.
Sign-off
An approver's signature on the ready-to-fund register. Only possible when the gate is ready and no drafts are pending.
Stale decision
A decision recorded on a finding, document set or deal facts that have since changed. It stops counting until a person reviews and re-records it.
Waiting
Someone else has the next move: a party sending a document, an approver, or the check. A task that holds the gate still stops funding until it is done.
Waiver
An approver's recorded acceptance of an exception, with a reason. One of the two ways past a blocker without evidence; the other, Not a finding, says the finding was never there. The approver may also note mitigating factors, the remaining risk accepted and monitoring after closing; these are kept with the waiver and change nothing at the gate.
Warning
A condition that needs a recorded decision but does not stop funding on its own.
